A Small Event Venue Walkthrough: Turn Observations Into Questions and Confirmed Answers

A venue visit is more useful when you leave with a record of what was observed and what still needs confirmation. For a small meeting or workshop, organize the walkthrough around how guests, helpers, and materials will move through the event.

Bring the planned activity and group size

Describe the event you intend to run, including the setup and cleanup periods. Ask the venue to confirm the arrangements relevant to that use. A room being available does not automatically establish that every activity or layout is permitted.

Walk the arrival route

Check the intended entrance, directions, arrival desk, and route to the room. Ask about accessibility needs with the venue and affected participants rather than judging suitability by appearance alone. Record signs or instructions that guests may need.

Keep emergency exits and required routes clear. Obtain the venue’s actual safety and emergency arrangements through the responsible staff; this worksheet does not replace them.

Review the working layout

Discuss seating, tables, equipment placement, and space for ordinary movement. Confirm what furniture is included and who may move it. Record layout restrictions rather than planning around assumptions that staff have not accepted.

Check equipment and access

Ask what is supplied, what you must bring, and who operates it. For a presentation, confirm the practical connection and testing arrangements with the venue. Arrange a suitable test rather than assuming that a screen and a laptop will work together.

Include power, network access, sound, and lighting questions where relevant. Have authorized staff handle unfamiliar equipment and confirm any restrictions. Do not improvise installation or access changes during a casual walkthrough.

Confirm the handoffs

Record who opens the venue, who meets the organizer, how the room is handed back, and what cleanup is expected. Include booking contacts and the approved route for last-minute questions. Verify timings in the written arrangement.

Leave with an open-question list

For each unanswered question, write an owner and a date to check. Mark observations separately from promises. “Saw six tables in storage” does not mean six tables are included in your booking.

After the visit, summarize the agreed setup and request clarification on any important uncertainty. Update the event plan only from confirmed information where confirmation matters.

Feed the operational answers into the run of show, especially the setup and closing handoffs.
